Write a federal resume USAJOBS reviewers can actually score

Hours per week, series and grade, supervisor details, and specialized experience in the announcement's own words. One-page CV advice works against you here.

Why federal resumes break the rules you were taught

Private-sector recruiters skim. A federal HR specialist scores. They read your resume against the announcement's specialized experience statement and decide, line by line, whether you meet it. Nothing is inferred from a job title and nothing is assumed from context. That single difference explains why the tight one-pager you polished for a startup can be rated ineligible for a GS-12 role you could do in your sleep.

So the document grows, and that is fine. Every position needs month and year dates, hours per week, your salary or grade, and a supervisor's name and phone number with a clear yes or no on contact permission. Hours matter because part-time work is credited proportionally: twenty hours a week for two years counts as roughly one year of full-time experience, not two. Leave the hours off and a reviewer may credit nothing at all.

Then there is the wording. If the announcement asks for experience analyzing program data to support policy recommendations, that phrase belongs in your resume, attached to a task you genuinely performed. Copying the announcement without evidence is padding, and specialists spot it fast. Mirroring the language while proving the work underneath is the whole game, and it is the part most applicants rush at eleven at night before the closing date.

The details a reviewer looks for first

Miss any of these and a qualifying job can become impossible to credit.

Dates, hours and salary

Month and year for every role, hours worked per week, and the salary or grade you held while you were there.

Supervisor and permission

Name, current phone number, and a straight yes or no on whether the agency may contact them.

Series, grade and step

Prior federal jobs list all three, so time-in-grade takes a reviewer seconds to verify instead of a phone call.

How to build one that gets referred

Start from the announcement, not your old CV

Pull the specialized experience paragraph first. Every duty you write should answer some part of it.

Write duties as evidence, not headlines

Name the task, the system you used, the volume you handled, and who relied on the output.

Make the questionnaire and the resume agree

Rate yourself an expert on budget analysis, then show the budgets. Unsupported ratings get scored down.

Reuse the structure, retune the language

HRLens rebuilds the CV you already have into a federal-length draft, then flags duties that read too thin.

Questions applicants ask us

How long should a federal resume be?

Longer than you are used to. Three to five pages is normal, and senior applicants often run past that. Length is not the goal, evidence is. Every duty a reviewer needs to credit has to appear in writing, with dates and hours attached. Cut the filler, keep the proof, and let the page count land where it lands.

Do I really have to list hours per week and supervisor details?

Yes. Hours per week let the reviewer convert your history into full-time equivalent months, since part-time work is credited proportionally. Supervisor name, phone number and your answer on contact permission are standard fields on federal applications. Leave them blank and a position that fully qualifies you can become unscoreable, so complete them for every job listed.

What counts as specialized experience?

It is the specific experience the announcement says you need, usually one year at the next lower grade. That wording is deliberate and it is the yardstick the HR specialist measures you against. Echo the phrasing in your resume, then back each phrase with a real task, the tool you used, and a result you could defend in an interview.

Can I just upload my private-sector CV to USAJOBS?

You can upload a document, but a two-page marketing CV is often rated ineligible because the required details are missing. Keep the achievements you already wrote, then rebuild the structure around them: full month and year dates, hours per week, salary or grade, supervisor contacts, and announcement-matched language in every role.

Should I use the USAJOBS resume builder or my own file?

The built-in builder guarantees the required fields are captured, which is why cautious applicants start there. An uploaded file gives you cleaner formatting and easier reuse across announcements, provided you include every field yourself. Some announcements state which they accept, so read the How to Apply section before you commit either way.
